Refund & Cancellation Policy

At Dear Colleen Travels LLC, DBA Dear Colleen Travels, (“we,” “us,” or “our”), we understand that plans can change. This Refund & Cancellation Policy explains how cancellations, refunds, and travel credits are handled for Travel Services booked through Dear Colleen Travels.

Please read this policy carefully before making a payment. Submitting a deposit or payment toward your trip, you acknowledge and agree to the Refund & Cancellation Policy.

1. General Refund Policy

1.1 Travel arrangements are secured with suppliers and vendors on your behalf, therefore refunds are subject to the vendor and/or suppliers refund policy and Dear Colleen Travels is not held financially responsible. 

1.2 Payments made directly to Dear Colleen Travels are as follows : 

  • Your initial deposit to secure your place on a trip becomes non-refundable after the applicable sign-up deadline has passed.
  • All payments made after the initial deposit are non-refundable.
 

1.3 For trips requiring multiple payments, your payment schedule and invoice will identify applicable payment deadlines.

2. Cancellation by the Traveler

2.1 If you need to cancel your trip or travel services, cancellation requests must be submitted in writing to dearcolleentravels@gmail.com. Your cancellation becomes effective when your written request is received.

2.2 Cancellations requested before the final payment due date.

If you choose to forfeit your spot on a trip before the applicable payment due date:

  • You will forfeit the deposit and all payments made prior to the cancellation request date. 
  • You will not be held responsible for future payments that have not yet become due.
 
2.3 Cancellations requested on or after the final payment due date.

If you choose to forfeit your spot on a trip on or after the applicable payment due date:

  • The initial deposit and previously submitted payments remain non-refundable.
  • You remain responsible for any outstanding payments that are due on that specified date.

3. Bookings Made Within 60 Days of Departure

3.1 Bookings made within 60 days of the scheduled departure date require full payment at the time of booking, including the deposit and any remaining scheduled payments.

3.2 Because these bookings are made close to the departure date, standard cancellation and refund policies apply immediately upon booking.

4. Third-Party Supplier Refunds

4.1 Refunds for travel services purchased through third-party suppliers, including but not limited to cruises, excursions, hotels, airfare, transportation, and other travel services, are subject to the individual supplier’s cancellation and refund policies.

4.2 If a third-party supplier provides a refund or credit, Dear Colleen Travels will communicate the applicable options to the Client and assist with the refund or credit process as appropriate.

4.3 Dear Colleen Travels is not responsible for the refund amounts, credits, cancellation fees, or cancellation terms established by third-party suppliers.

5. Late Payments & Trip Removal

5.1 For trips requiring scheduled payments, payments must be received by the due date listed on your payment plan or invoice.

5.2 Unless your trip-specific terms state otherwise, the following late-payment schedule applies:

$80 late fee + trip removal

5.3 Failure to make a required payment may result in cancellation of services and removal from the trip without a refund.

6. Unused Travel Services 

6.1 Travel Services that are unused by the Client are non-refundable. This includes, but is not limited to:

  • Voluntary Early Departure: If you choose to leave your trip early, any unused accommodations, transportation, activities, or other travel services are non-refundable.
  • Late Arrival: If you arrive late and miss any portion of your scheduled accommodations, activities, transportation, or other services, no refund will be provided for the unused portion.
  • Missed Activities: Activities, excursions, tours, reservations, or other services that are missed for any reason are non-refundable unless otherwise stated in the applicable supplier’s cancellation policy.
  • No-Shows: Failure to arrive for or participate in a scheduled service without prior notice will be considered a no-show and is non-refundable.
  • Services You Choose Not to Use: If you voluntarily choose not to use any portion of your booked travel services, you will not be entitled to a refund or credit for the unused service.
 

6.2 Dear Colleen Travels is not responsible for providing refunds, credits, or compensation for unused travel services when the applicable supplier does not offer a refund. Any refund or credit will be subject to the supplier’s policies and the circumstances surrounding the unused service.

7. Pocket Bestie Service

7.1 The Pocket Bestie Service is non-refundable once purchased, regardless of utilization frequency.

7.2 Because communication availability and client support is reserved for you throughout your trip dates, the service is considered delivered in full at the time of trip departure.

7.3 Should you cancel the trip before your departure date, a full refund for the Pocket Bestie service will be provided.

8. Cancellation by Dear Colleen Travels

8.1 We reserve the right to modify or cancel a trip at any time due to low enrollment, safety concerns, and/or circumstances beyond our control.

8.2 If we cancel before the trip departure date, you will receive a refund of the initial deposit plus any other payments made directly to Dear Colleen Travels (minus non-recoverable supplier costs). 

8.3 Refunds for travel accommodations such as but not limited to; lodging, cruises, excursions, hotels, airfare, transportation, and other travel services are subject to the individual supplier’s cancellation and refund policies. Dear Colleen Travels is not financially liable for any supplier costs or travel services that are non-refundable.

8.4 If cancellation is due to force majeure (including but not limited to natural disaster, war, epidemic, government restriction, Acts of God, severe weather, and other circumstances beyond our reasonable control), refunds or travel credits will depend on the amount that can be recovered from applicable travel suppliers.

8.5 Dear Colleen Travels cannot guarantee or issue a refund when the applicable supplier’s cancellation and refund policies do not permit one.

9. Removal From Trip

9.1 Dear Colleen Travels reserves the right to remove a traveler before or during a trip when the traveler:

  • Engages in disruptive, threatening, or unsafe behavior
  • Violates the Client Code of Conduct
  • Engages in discriminatory, harassing, or inappropriate behavior
  • Creates a safety concern for themselves, other travelers, hosts, or members of the local community
  • Is under the influence of drugs or alcohol in a manner that compromises the safety or well-being of themselves or others
  • Refuses a required background check or fails to meet applicable safety requirements
 

9.2 If a traveler is removed under these circumstances, no refund, credit, or compensation will be provided. The traveler will be responsible for arranging and paying for any additional transportation, accommodations, or other expenses required to leave or continue their trip independently.

10. Travel Insurance

10.1 Comprehensive travel insurance covering trip cancellation, medical emergencies, evacuation, loss of a family member, and baggage loss is not required, but is recommended.

10.2 You are solely responsible for the adequacy and accuracy of your policy.

11. Trip-Specific Policies

11.1 Certain trips (such as the Golden Hour Retreats pre-planned trips) may have additional cancellation, payment, or refund requirements.

11.2 If a trip-specific policy differs from this general Refund & Cancellation Policy, the trip-specific Terms will apply.

12. Questions About Your Refund

12.1 If you have questions about a cancellation, refund, or travel credit, please contact dearcolleentravels@gmail.com.

12.2 Please include your name, trip name, and booking information when contacting us about a cancellation or refund.

13. Relationship to Our Terms & Conditions

13.1 This Refund & Cancellation Policy is intended to provide a clear summary of our refund and cancellation practices. It does not replace the Dear Colleen Travels Terms & Conditions or any trip-specific terms provided at the time of booking.

13.2 In the event of a conflict, the applicable Terms & Conditions and trip-specific policies will govern.

14. Acceptance

14.1 Dear Colleen Travels reserves the right to make changes to our Refund Policy at any time. The updated policy will be shared with current travelers and will go into effect immediately upon posting.

14.2 When changes are made to this policy, we will update the “Last Updated” date at the top of this page.
